Microsoft Teams has a very simplified process where any meeting participants who belong to the same organization and have a recording license from the company’s IT admin can record a meeting with complete ease. Users should also be Microsoft 365 Business subscribers as the feature is not available to Teams Free users.

But once you’ve recorded a meeting in Teams, where does it go? How do you view it? Or delete it? These are all legit questions that can haunt your mind if you are not familiar with the ins-and-outs of the whole system. So let’s just dig into it, shall we?

How to View Meeting Recordings

Although the recordings happen in the cloud and get saved in Microsoft Stream, you can directly view the meeting recordings from Teams too, at least for the initial 7 days.

For private meetings, the recording will appear in the meeting chat. So anyone who was part of the meeting (only organization members and not guests) can play the recording directly from there.

Click on ‘Chat’ from the navigation panel on the left.

A meeting chat can be recognized by the name that was used for the meeting. Click on it to open the chat.

The recording will be available in the chat like any other post. Simply click on the recording thumbnail to play it.

The recording for channel meetings appears on the channel, so all team members with access to the channel, regardless of whether they attended the meeting or not, can view it.

To view a recording in a channel, go to ‘Teams’ from the left navigation panel. Then, click on the channel name under the list of teams to go to the channel where the meeting took place.

The meeting recording will appear in the ‘Posts’ tab of the channel under the Meeting started post. Click on the recording thumbnail to play it.

The recording disappears from Microsoft Teams after 7 days but continues to be available on Microsoft Stream. To view it after 7 days, you can go to Microsoft Stream and watch it from there if you have the permission to view it.

How to Delete a Recording?

Deleting a recording is quite simple but only the recording owner can delete it. The recording owner entails the person who recorded the meeting or any additional owners named by them (if any).

Go to the recording in Microsoft Teams (as instructed above) and click on the ‘More’ option (three-dot menu) next to it. Then, select ‘Open in Microsoft Stream’ from the pop-up menu.

You can also directly go to web.microsoftstream.com and open the video by going to videos in ‘My Content’. Be sure to log in using the same Microsoft account that you used in Teams to record the meeting.

Now, click on the ‘More’ option (three dots) and select ‘Delete’ from the context menu.

A dialog box will appear asking you to confirm whether you want to delete the video and informing you that doing so would also delete the video from where it might be published, i.e. any group or channel. Click on ‘Delete the video’ to confirm. The recording will be moved to the recycle bin.

Microsoft makes it really easy to not just record the meetings, but also managing them. Whether you only want to view it or delete it, it’s as simple as it can be.
