Google Meet, previously known as Google Hangout Meet, is the video conferencing service offered by Google in the G-Suite. It has become the app of choice for many organizations and educational institutes, especially during these hard times.

Using Google Meet, you can hold instant meetings at any time. But not everyone can attend meetings in the blink of an eye without prior notice. The better option is to schedule meetings in advance so everyone can have a heads up and organize their schedule accordingly.

How to Schedule a Google Meet in Advance

To schedule a meeting in advance, first open meet.google.com and log in with your Google account. Then, on the Google Meet homepage, click on the ‘Schedule a video meeting from Google Calendar’ option.

A Google Calendar event page will open in a new tab/window in your browser. Here, give your Google Meet a title and then click on the ‘Add guests’ field box and type the email IDs of people you want to invite to the meeting.

If the calendar of the guests you want to invite is available for you, you can see their availability by clicking on ‘See guest availability’ and then change the meeting schedule accordingly if you want.

After you’ve entered all the details for the meeting, click on the ‘Save’ button.

A dialog box will appear asking whether you want to send invitation emails to Google Calendar guests. Click ‘Send’.

If you’re using a G-Suite account provided by your organization and you added email address of someone outside of the organization, then an additional dialog box will appear notifying you that ‘The following guests are from outside your organization’. Click on ‘Invite external guests’ to confirm the invitation. If you added it by mistake, click on ‘Continue editing’ to edit the invitation and remove their email.

The meeting will be scheduled in your Google Meet, and the guests would receive an invitation email id. They can RSVP to the event, and add it to their calendar. For Google users, the meeting would also appear in their Google Meet account if they RSVP yes to it.


How to Schedule a Google Meet Directly from Google Calendar

You can also schedule a Google Meet directly from the Google Calendar. To get started, open calendar.google.com in your browser and log in with your Google account. Then, click on the ‘Create’ button on the upper left corner of the screen.

A ‘Create event’ dialog box will open. Add the details about the meeting like the Title, Meeting day and Time. And after that, click on the ‘Add Google Meet video conferencing’ button.

It will generate a Google Meet link. Then, you can go to ‘Add guests’ and type the email IDs of people you want to invite to the meeting.

The rest of the process remains the same as explained above. When you’re done configuring, click on the ‘Save’ button at the bottom right corner of the ‘Add event’ dialogue box.


Scheduling a meeting with Google Meet is really easy. Just add it to your Google Calendar to schedule it. You can also invite guests to the meeting directly while scheduling the event, and the guests can add the event to their calendar and also RSVP to it, so you will know who will attend the meeting.
